Reducing costs and improving TAT on bank reconciliation process is identified as a target process suffering below issues:- • Several legacy systems making any whole scale IT transformation difficult and very costly • Unstructured data owing to regional nuances and multiple bank statement back ups • Highly error-prone and time taking manual process resulting in duplicate/incorrect entries

Journal Entry Processing Bot

The client’s BPO partner deploys 50 FTEs to process journal entries manually for its FMCG client. The process was highly manual, data entry intensive and time-consuming. • Input JE volume is non-uniform across a month • Peak MEC volume is 30 times the non-MEC volume • Unstructured data input owing to regional nuances of MJE Preparation • Highly error prone manual process with lot of dependency on resources Solution DigiPrompt’s agile RPA execution methodology (PSDTR framework) employed to automate this process while leveraging digital capabilities of existing ERP and workflow systems. • The JE bot logs into the client environment and opens up outlook. • Standard JE template framed covering regional variations arrives in the mailbox and is picked by the bot. • Bot performs various validations on the data in template and then logs into the ERP for JE creation / posting. • The journal entry is submitted in finance system Impact Upto~80 percent productivity gains and significant value generation for our client. - JE Load Distribution: JEs below specific threshold are routed for processing over non-MEC days, thereby ensuring load balancing and optimal resource utilisation - Improved Controllership: Client’s JE posting TAT improves and incorrect JE posting reduced by 60%. - Scalability: The solution being scaled to client’s other business units - Peak vs Non Peak JEs: Ratio of Peak JE # to Non MEC JE # reduces from 30 to 8
